Presidents Letter

July 2020


Dear Members

I hope this letter finds you well! I wanted to take a moment to update you on the council’s plans to reopen our church. We will begin services again, with the precautions and requirements outlined previously, on August 2, 2020. At this time the ELCA is suggesting that churches consider remaining closed until the end of September. Due to this recommendation, we will not be able to utilize pulpit supply pastors, and will be holding lay services until a time when pulpit supply pastors are able to return.

I hope that you will be able to join us starting on August 2, but know that this may not be possible for all of you. If you have underlying health concerns, or are in a high risk group, you church family understands if you will need to remain absent. I have been missing all of you, and you are in my prayers.

Message from Jane

All,

I will be moving my household the 30th and 31st of July and leave here then.  My house sold and I am almost packed up.  Working on getting the end details done.  I am headed to Wyoming with my stuff.  I will miss the church re-opening and will miss all of the church members.  We had some good times.  It’s been a fun place to be a part of and I will really miss John and all his wonderful help with taking care of the church.  You are all super people.  Take care and keep me in your prayers and I will do the same!

September 3 is God's Work Our Hands Sunday. Due to limitations caused by COVID-19, we will be holding a food and monetary donation drive to benefit the local Fernley Food Bank. Please start saving and collecting!

Altar Committee

Chair: Sharilyn Martin Co-Chair:

  1. develop a schedule of volunteers to care for the altar
  2. dress the altar each week with the appropriate paraments for the season
  3. prepare and remove the communion table for each regular and special worship service as needed
  4. secure the necessary supplies for Holy Communion
  5. submit a brief report to be included in the annual report

Christian Education Committee

  1. determine the need for Sunday School, Vacation Bible School, Confirmation Class, Early Communion Class, Adult Confirmation Class, and Bible Study for our congregation
  2. oversee the selection or development of a curriculum for each of the education programs which will be provided to the congregation
  3. recruit teachers, leaders, and sponsors as necessary to serve in the educational programs
  4. secure the necessary supplies, equipment and materials needed for each program
  5. develop and use an accountability system to evaluate the effectiveness of programs
  6. submit a brief report to be included in the annual report

  1. lead and organize WELCA activities
  2. inform the congregation of upcoming activities and report the outcome of past activities as needed

Property Committee

  1. conduct an annual review of the church buildings and grounds to assess needs
  2. propose recommended repairs, maintenance, or projects to the council, and when approved take the necessary steps to complete the proposed/approved work
  3. schedule a spring and fall clean-up of the church buildings and grounds and develop a monthly schedule of volunteers to clean the church buildings
  4. submit a brief report to be included in the annual report

Lease/Rental Agreement Review Committee

Chair: Pastor or Council President Co-Chair:

  1. conduct an annual review of the rental agreement for properties occupied
  2. negotiate terms as needed

Inventory and Asset Committee

Chair: Co-Chair:

  1. recruit volunteers, approximately two, who will be available to assist with an inventory of assets
  2. meet annually, in May before the church’s insurance policy is due for renewal
  3. create/maintain the asset list and update the items and values as required
  4. submit a brief report to the council after annual meeting is held

Lutheran Center Rental

Chair: Sunni Leggate Co-Chair: Karla Simmons

  1. recruit volunteers who will be available to assist with locking and unlocking the Lutheran Center for scheduled events, and monitor that facilities were left clean and orderly by those last using them
  2. keep a schedule of Lutheran Center availability and schedule rental of the facilities as required
  3. collect rental fees and cleaning deposits, keep accurate records, and insure that monies are turned over to the financial secretary in a timely manner
  4. initiate the return of cleaning deposits to the appropriate party after facilities have been inspected and need no further attention
  5. submit a brief report to the council in months when the hall was rented

Fellowship Committee

Chair: Co-Chair:

  1. develop a schedule of volunteers to provide refreshments each Sunday
  2. secure the necessary supplies needed
  3. ensure that the facilities are set-up/prepared for fellowship each week
  4. recruit volunteers to provide refreshments for Sunday, or other special events and services
  5. submit a brief report to be included in the annual report

  1. secure the necessary supplies needed
  2. find volunteers to assist with cooking and serving

  1. recruit volunteers to lead study groups for women, men, and/or open bible study groups

  5. submit a brief report to be included in the annual report


Worship Committee

  1. coordinate the planning of all worship services with presiding Pastor
  2. recruit ushers, worship assistants, and any other needed persons to assist with worship
  3. assist altar committee as requested
  4. arrange for additional musicians when needed
  5. arrange for special music when requested/needed
  6. assist in selecting hymns for worship
  7. submit a brief report to be included in the annual report

Bulletin Preparation

  1. arrange for the ordering of blank bulletins jackets from the supplier
  2. edit the bulletin template and complete for current weeks service
  3. arrange for printing of bulletins at printer
  4. arrange for pickup of bulletins

Pulpit Supply

Chair: Marcie Vallejo Co-Chair:

  1. contact clergy and arrange for them to lead services on Sunday or for special services and work with them to obtain anything they may need for the service
  2. Gift of Grace will pay pulpit supply pastors the rate outlined by the ELCA, to include mileage for travel as required
  3. organize a list by date of clergy who have agreed to lead services
  4. notify worship committee chair no later than one week prior to service if a clergy member has not been retained for the following week
  5. arrange for proper payment with the council treasurer

Message Board

Chair: Co-Chair:

  1. develop a schedule for needed updates to occur and communicate this schedule to the congregation
  2. update message board outside of church building as required
  3. make sure that the message board contains information for the current church season and change as needed throughout the year

Youth Activities Committee

Chair: Co-Chair:

  1. periodically review the need for an organized youth event
  2. recruit leaders and sponsors to lead a youth program
  3. assist youth leaders in securing supplies and equipment
  4. publicize youth events within the congregation
  5. submit a brief report to be included in the annual report.


Outreach Committee

  1. develop an annual program that shares the “good news” with the community
  2. schedule activities that create opportunities to invite the community to join our family and bring Christ into their lives
  3. include congregation in developing ideas to growth our members in their faith
  4. assist with or donate to programs that benefit people in our community, area, nation, and world
  5. submit a brief report to be included in the annual report

  1. secure necessary supplies for feeding vendors and volunteers
  2. recruit volunteers to bake goods for sale at the craft fair

  5. recruit volunteers to cook lunch for craft fair vendor and/or customers
  6. recruit volunteers to assist with clean-up afterwards
  7. submit monies earned to the financial secretary in a timely manner

God’s Work Our Hand Sunday

Millennium Park Clean-Up

  1. recruit volunteers to assist in the clean-up of a local park
  2. facilitate the needs supplies and tools
  3. coordinate with the City for pick-up of garbage after clean-up is complete

Newsletter

Chair: Iain Leggate Co-Chair: Sunni Leggate

  1. create/edit newsletter monthly
  2. maintain and update the mailing/subscription list regularly using the on-line opt-in/opt-out function
  3. remind council members and committee chairs of newsletter deadline so that reports and correspondence to the congregation can be included
  4. send newsletter out to all subscribers monthly

Operation Christmas Child

Chair: Sandy Bell Co-Chair: Marcie Vallejo & Sunni Leggate

  1. coordinate the collection of items to fill the show boxes all year
  2. conduct a drive to gather items and funds twice a year, preferably one in Spring or Summer, and again before boxes need to be completed
  3. coordinate with local Operation Christmas Child representative to obtain shoeboxes and other important information
  4. coordinate with the local Operation Christmas Child representative to speak with the congregation regarding the program/project, or chair person can give a talk to inform the congregation
  5. coordinate volunteers from the congregation to use money raised to obtain items for boxes
  6. coordinate volunteers from the congregation to assemble boxes
  7. coordinate with the local Operation Christmas Child representative for the pick up or return of the completed shoe boxes
  8. submit a brief report to the council

Relay For Life

Chair: Co-Chair:

  1. recruit team members who will assist in fundraising, set-up, and clean-up
  2. develop fundraisers such as raffles, sales, etc.
  3. submit a brief report to the council

Social Media Presence

Chair: Sunni Leggate Co-Chair:

  1. create and maintain the Gift of Grace Facebook page, and group, and any other social media methods that are utilized
  2. interact with those that contact the church via social media promptly and direct them to the correct party
  3. use social media to publicize events, calendars, and other information as directed by the church council and to broaden our reach in the community

Spooktacular

Chair: Co-Chair:

  1. encourage and recruit congregation members to donate candy and money
  2. take candy to city hall
  3. recruit volunteers to hand out candy to participants if needed or as required

Sunshine

Chair: Virginia Krause Co-Chair: Sandy Bell

  1. compose and send cards to commemorate events such as, thank you, get well, happy birthday, miss you, etc
  2. send reminders as required
  3. promote the social health of the congregation

Web Page, Email, and Domain Administration

Chair: Iain Leggate Co-Chair: Sunni Leggate

  1. ensure fees are paid as required to keep domain registration and email service current
  2. ensure non-profit status is submitted as required to maintain email service/provider
  3. create and maintain web site as required or requested by the church council
  4. create and disable email addresses as required
  5. provide support or documentation as needed to users of church emails

Yard Sale and Bake Sale

Chair: Co-Chair:

  1. schedule a time and date for the yard sale
  2. work with congregation to collect items donated for the yard sale
  3. recruit volunteers to bake goods for sale at the craft fair
  4. recruit volunteers for set-up, and clean-up, and to assist during the yard sale
  5. work on donating any left-over items to local thrift stores or charitable organizations
  6. prepare a brief report for the council

Stewardship Committee

  1. develop a program that provides periodic stewardship education to the congregation throughout the year
  2. conduct a congregation wide pledge drive in the fall
  3. develop cost-saving methods to conserve energy on the church building and grounds
  4. conduct on-going recycling projects to benefit the environment
  5. submit a brief report to be included in the annual report.


Food Pantry Committee

  1. work with local food pantries to ascertain what they need and to coordinate donations and volunteers
  2. encourage and recruit congregation members to donate items, and time to the food pantry
  3. select one day a month to take monthly donations to the food pantry
  4. deliver donated items to the food pantry each month
  5. submit a brief report to be included in the annual report

Peanut Butter Drive

Chair: Co-Chair:

  1. encourage and recruit other local churches to participate it a friendly contest to see which congregation can collect the most peanut butter in total ounces
  2. encourage and recruit congregation members to donate peanut butter or money
  3. document total ounces collected, and gather the same information from participating congregations to determine the winner
  4. take collected peanut butter to food bank
  5. submit a brief report to the council

Turkey Drive

Chair: Co-Chair:

  1. encourage and recruit congregation members to donate turkeys or money
  2. take collected turkey donations to the food bank
  3. submit a brief report to the council

Shut-In Ministry Committee

Chair: Co-Chair:

  1. arrange periodic visits to local nursing homes or congregation members who are homebound, and solicit volunteers from the congregation to assist
  2. determine what types of activities would be appropriate for the visits
  3. insure that visits take place as planned
  4. submit a brief report to be included in the annual report

Eucharist for Shut In Members

Chair: Co-Chair:

  1. attend instruction/class with a pastor regarding the requirements and duties
  2. attend Sunday service and notify presiding pastor of the members you will be visiting and administering to, or the presiding pastor or chair of this committee will notify you
  3. after service, gather the Eucharist kit, order of worship booklet, bulletin from service, and complete the needed prayers
  4. Using the order of service, administer the Eucharist to members that are home bound or “shut in”
