Steps to Prepare for your Join Scouting Night:
1. Save the Dates. If you haven't already, host an annual planning conference. Add all your Unit meetings and activities to your Unit's calendar. This shows newcomers what's in store when they join your group.
2. Set Up Your Unit Pin. The BeAScout pin allows prospective members to find your online and easily apply to join your Unit.
3. Set Up Online Registration. Make sure your Unit is accepting online applications. Today's parents prefer this option. Plus, new Scouting families (the first 1,000 between Sept. 1 and Dec. 31) will receive $25 off when they register through BeAScout.org!
4. Promote Your Unit. Use the Press Release template to get the word out about all the great things your Scouts are doing in your local community. Be sure to always provide a great picture, your contact information and promote upcoming joining opportunities. If you have an "in" with your PTO/A, promote your Unit in their school newsletters and social media pages.
5. Connect with the Community. Coordinate with local businesses to display your posters and flyers. Post on "Next Door" and other neighborhood resources. Don't forget Community Calendar postings too!
6. Make a Plan. Now that you've advertised, be sure your Join Scouting Event is organized. Have a volunteer welcoming new families at the door, be sure a Membership Coordinator has ways to collect applications (paper and online), registration fees and contact information. Be prepared with printed "Welcome" one-pagers and your Unit's calendar (be sure to add all your contact information to the calendar sheet). Ask each Den/Patrol Leader to plan a fun activity that the prospective Scouts will enjoy.
7. Follow up. Be sure you call and email those who left without joining your Unit. Invite them back to the next meeting and be sure you check in with them before they leave. Follow up is the most important step - other than planning an unforgettable Join Scouting Event!
