Preparation for Next Year: At the Executive Board Meeting, present and vote to approve the preliminary budget and two 24-hour tax-free days (per calendar year) for the next school year. At the Membership Meeting, present and vote to approve the preliminary budget, state the 2 tax-free dates and ensure the meeting minutes reflect the change in bank account signers (names of current signers and new signers).
Annual Meeting (Sample Agenda and Script): Conduct an annual meeting. Present a preliminary annual report (a year-to-date financial report).
Finish Year: Complete the year through the end of the fiscal school year (fiscal year is stated in your PTA Bylaws)
Celebrate: Coordinate the installation of new officers. Thank this year’s PTA board and members.
Assess: Assess progress towards goals and make recommendations for next year. Survey school staff and PTA members to find out how PTA can best serve them in the upcoming year.
Pass on Materials: Pass on all materials, including the Texas PTA Resource Guide, procedure notebook (may be digital), links to online documents, bylaws, and standing rules. Remind outgoing board that their procedure books and materials must be submitted within 15 days after their successors assume their duties. Consider a transition meeting or event.

Texas Two-Step Part 1: Each officer and committee chair on your board must submit their own information through the Executive Officer Registration Form (keep updated throughout the school year).
SBISD CPTA Calendar: Bookmark the SBISD CPTA Calendar and check often for updates and meetings, events, and training dates.
Schedule Events with the Principal: Meet with your principal to discuss the upcoming year. Confirm calendar dates for membership and executive board meetings (look in your bylaws for meeting months). If possible, schedule major events, including carnival, teacher appreciation events, etc.
Newly Elected Officers Meeting: Call a meeting of the newly elected officers, within 30 days of election, to:
Appoint and approve parliamentarian, approve officer positions (if any were filled after Elections), and approve standing committee chairs.
Plan your board calendar and events.
Texas Two-Step Part 2: Discuss training required in your bylaws for ALL Board members:
Every board member must attend Basics for their board position (if there isn’t one for their position, Boardmanship is required) if they are in a new board position, the new position Basics is required https://www.txpta.org/training.
Executive Board Planning Meeting: Hold your first Executive Board meeting and planning session.
Appoint a budget and finance committee to meet over the summer. As per bylaws, the treasurer is the chair of this committee.
Advise committee chairs they need to submit welcome packet forms and provide deadline dates.
Appoint a member, as per the bylaws, to review accounts.
Hand out plan of work forms and provide the due date.
Hand out procedure books (or links to online documents) to board members.
